SPECIAL PROJECTS COORDINATOR
The Special Projects Coordinator is responsible for overseeing and coordinating projects arising from the
Biosecurity Committee and the Insurance Project Committee of the Ontario Livestock and Poultry Council (OLPC).
The Coordinator may also provide coordination and support to research and innovation projects supported by
OLPC.
RELATIONSHIPS:
The Coordinator will work closely with the Chairs of the Biosecurity and Insurance Project Committees but will
report to the Chair of the OLPC Board. The incumbent will develop and maintain positive working relationships with
OLPC members, industry stakeholders in the livestock and poultry sector, government representatives, other
possible project partners, and funding agencies. It is expected that the Coordinator will achieve results in the
absence of day-to-day guidance.
TERMS AND COMPENSATION:
This is a part-time, contract, fee-for-service position estimated at the equivalent of six days per month for a four year
period. Anticipated start date is August 1, 2008 and the termination date is June 30, 2012. We are looking for a
candidate who can commit to completing the four year term.
The pay rate has been set at $450 per day based on a 7.5 hour day ($60.00 per hour). The salary has been set at
this rate to compensate for benefits, sick pay and vacation pay which are not covered under fee-for-service
contracts.
Additionally, the successful candidate will be expected to work from a home office and provide all required
equipment and communications resources, i.e. computer, telephone, fax, printer, office furniture, etc. Out of pocket
expenses for travel (mileage, air fare, parking), meals, accommodation, long distance or conference call charges,
courier charges, and office supplies relating to OLPC activities will be reimbursed upon submission of receipts and
approval by the OLPC Chair or designee.
MAJOR RESPONSIBILITIES/DUTIES:
Committee Coordination
? Participates in the preparation and development of the Biosecurity Committee and the Insurance Project
Committee (the Committees) strategic and priority planning, including preparing and writing sections of planning
documents.
? Facilitates the integration and alignment of plans and planning activities amongst OLPC Committees.
? Attend, report on activities and record and distribute minutes of the Committees.
Project Oversight
? Provides consultation to the Committees, Board and Executive in the development of action plans, project
proposals and business cases.
? Prepares applications, writes proposals and completes internal/external budgets for projects and grants.
? Tracks the progress of all new and current projects arising from the Committees.

? Reviews contracts and agreements to ensure they comply with internal policy and funding agency guidelines.
? Coordinates project budgets with the lead agricultural association and with OLPC finances.
? Coordinates timely submission of financial and narrative reports required by funding bodies and granting
agencies
? Prepares, monitors, and maintains flow charts outlining developments, deliverables and timing.
? Identifies interdependencies for all projects and facilitates communication among task groups.
? Collects data, composes reports on project progress and advises the Committees accordingly.
? Identifies issues and provides advice on project progression.
? Acts as liaison with the Committees and OLPC Executive and collaborates with task groups to ensure project
success.
Event Coordination
? Coordinates Committees’ activities related to conferences, workshops, simulations and meetings.
? Arranges venue including food and beverages, AV-technical, room set-ups, parking, etc.
? Interprets and complies with contractual agreements.
? Assists in the development of program agendas.
? Secures and confirms speakers and assist in organizing travel arrangements and presentation needs.
? Identifies and recruits sponsors along with Committee members and event planning team.
? Oversees and ensures execution of any necessary sponsorship or exhibitor contracts.
? Responds to requests for information on Committee events.
? Administers event registration (receive and track registrations, payment receipts, attendance databases)
? Identifies and adheres to the budget(s).
? Inspects event facilities in order to ensure that they conform to event requirements.
? Develops content on website for program publicity; coordinates with webmaster as necessary.
? Coordinates marketing and publicity tasks, such as sending out e-mails and collecting responses.
? Writes targeted newsletter entries.
? Creates signage, awards, gifts, etc for various events and programs.
? Responsible for conference and event handout material, agendas, feedback sheets, and final reports.
REQUIREMENTS/QUALIFICATIONS:
Education
? Bachelor’s Degree or equivalent combination of education and experience
Experience
? Five years directly related experience in agriculture or project coordination
? Experience with interacting with stakeholders and event planning.
? Demonstrated knowledge and experience in marketing and communications.
? Demonstrated leadership skills and maturity in decision-making.
? Well-developed communication skills.
? Proven negotiation and interpersonal skills.
? Computer skills including word processing, spreadsheet and data management; familiarity with accounting
software.
? Knowledge of research grants and grant processes.
? Established networks within agriculture, an asset.
? Valid driver’s license and vehicle.
